5. Branch Plan Vouchers

To provide access to Branch Plans, you can create Branch Plan Vouchers that will be redeemed by your learners. A Console admin or a user with a custom role that has the permissions Read:Vouchers, Create:Vouchers, and Update:Vouchers can view and set up vouchers in Console. Any Branch Plan can have vouchers allowing for your learners to easily gain access to courses through the voucher redemption flow.

 
Adding a Branch Plan Voucher

To add a new voucher to a branch plan, follow these steps:

  1. Navigate to Console and under the Manage Users tab, click on Plans and then the Branch Plans tab.
  2. Search for your branch plan, and click on its name to open the Branch Plan Details page.
  3. Click on the Vouchers tab.
  4. Click on Add Voucher.

    NOTE: If the branch plan’s Valid To date is in the past, you will not be able to add a voucher as the plan has expired. However, vouchers can be added for future use if the plan’s Valid From date is in the future.
  5. Select your Voucher Type.
    1. Voucher Template: A voucher template allows you to set the max use count and bulk generate multiple unique, randomized codes
      1. On the Properties page, fill in the following sections:
        1. Voucher Name: the base name of each unique voucher code to be generated
        2. Random Character Count: the number of random characters that will be added to the end of the Voucher Name
        3. Max Use Count: the number of times each voucher code can be redeemed (default: 1)
        4. Bulk Generate Count: the number of codes generated
    2. Individual Voucher code: An individual voucher code will allow you to set the max use count for one unique voucher code
      1. On the Properties page, fill in the following sections:
        1. Voucher Name: the name of your unique voucher code
        2. Max Use Count: the number of times each voucher code can be redeemed (default: 1)
    NOTE: If the branch plan has a limited number of seats, be mindful of generating more vouchers than seats in your plan when entering the Max Use Count.
  6. Click on Create Voucher.

Editing a Branch Plan Voucher

To edit an existing voucher for a branch plan:

  1. Navigate to Console and under the Manage Users tab, click on Plans and then the Branch Plans tab.
  2. Search for your branch plan, and click on its name to open the Branch Plan Details page.
  3. Click on the Vouchers tab.
  4. Click on Edit next to the voucher you’d like to edit.
  5. On the Edit Voucher pop-up window, change the Max Use Count to your newly desired redemption instances.

    NOTE: To deactivate this voucher, reduce the Max Use Count to match the redeemed uses.
  6. Click on Save.

Voucher Detail Page

On the Branch Plan’s Vouchers tab, clicking on the Voucher Name will take you to the Voucher Detail page. This page will display the following:

  1. Voucher ID
  2. Associated Plan and Plan Type (Branch Plan)
  3. Redeemed Use Count and Uses Remaining
  4. User ID, SIS ID, Name and email address of all users who redeemed the voucher
  5. Redeemed Date - when a user redeemed the voucher
  6. Status - user's current status

To access a specific user's detail page, click on the name of the user.
You can also view Redeemed Use Count and Remaining Uses for this voucher and adjust its Max Use Count by clicking the Edit button.

 

Redeeming a Voucher (Voucher Redemption URL)

Once vouchers have been created, your learners will be able to redeem them to gain access to their courses. One way they can redeem them is by going to the branch’s voucher redemption link. This link can be found by going to the Branch Details page of the branch, and on the Overview tab will be the Voucher Redemption URL.


 

 

In order to successfully redeem a voucher, your Branch Plan, the Branch Plan Voucher, and the Branch Membership of the user redeeming the voucher must meet the following criteria:

 

Branch Plan:

  • Valid From date is in the past
  • Valid To date is in the future
  • First Activation Date is in the past
  • Last Activation Date is in the future
  • Final Access Date has not been reached
  • Seat Count limit has not been reached

Branch Plan Voucher:

  • Max Use Count has not been reached
  • Voucher has not been disabled (e.g. Max Use Count = 0)

Branch Membership:

  • User has no branch membership (upon redemption, they will automatically be granted membership into the associated Branch to the Branch Plan)
    OR
  • User is already a member of the associated Branch to the Branch Plan

Otherwise, learners will receive an error message when attempting to redeem their vouchers (i.e. Voucher is not active, no longer valid, or no available seats).

Users that are a member of a different Branch than the one associated with the Branch Plan will not be able to redeem the voucher. Their branch membership will also not be updated when attempting to redeem.
