Article Audience: BenchPrep customers currently using legacy B2B Tools via Tenant Dashboard, Institution Admin and Boost.

 

This article is intended to prepare and guide your organization, and any of your partner organizations, through a successful upgrade to our new, flexible Branches hierarchy and improved distribution capabilities in Console.  

 

Please Note: Partner impact and subsequent actions required to support the Console upgrade may vary based on your current implementation and distribution model(s). Keep in mind you may need to adjust actions/messaging to meet the needs of your organization.

 

Key Terms & Definitions

Console Single-source administration, configuration, and analytics application accessible by Console Admins and users with custom roles.
Legacy This term will be used to denote any piece of functionality being sunset in 2023, formerly referred to as "B2B Tools".
Enterprise Engine  New feature set, including the flexible branching user hierarchy, that enables Console to power (any mix of) direct-to-enterprise, partner and reseller models.  
Partner Any external user with the role of Instructor, Institution Admin, District Admin, Institution Supervisor, District Supervisor or Division Supervisor. 

Institution Admin               

Legacy user administration tool accessible by Institution Admins and District Admins. 
Boost  Legacy reporting tool accessible by Instructors, Institution Supervisors, District Supervisors and Division Supervisors. 
Tenant Dashboard Legacy user administration and B2B configuration tool accessible by Tenant Admins.

BenchPrep released Console in 2021 as the new home for all of your administration, configuration, distribution, and analytics needs.  We’re pleased to share that your organization, and your partners can soon utilize Console as your single-source administration and analytics application. Our new flexible Branches hierarchy and improved distribution capabilities will replace our legacy systems: Tenant Dashboard, Boost & Institution Admin. No matter how you bring your courses to market, Console will help you grow your revenue and reach in a manner that works best for you and your partners.

 

Here are just a few of the benefits of Console’s reimagined distribution and administration capabilities:

What does the upgrade mean to you? 

Console will replace Tenant Dashboard, Boost, and Institution Admin.  You will need to facilitate the upgrade to Console for internal and external stakeholders.

 

Have no fear! We’ve developed backward compatibility between applications along with robust supporting material to make the upgrade process as seamless as possible for you and your partners.  

 

Your timely upgrade also ensures that you and your partners realize the immediate, ongoing value of BenchPrep's substantial continued investments in Console.

 

Who is impacted by the upgrade? 

The upgrade impacts users with admin roles that provide access to the Tenant Dashboard, Institution Admin and/or Boost.  Specifically, Tenant Admins, Institution Admins, District Admins, Instructors, Institution Supervisors, District Supervisors and Division Supervisors will use Console as their single source application.

 

The upgrade does NOT impact learners or any part of the learning experience.

Timeline

As BenchPrep focuses on optimizing Console, we will end support of Boost, Institution Admin and Tenant Dashboard in the near future.  We understand that your organization may engage multiple personnel or teams to upgrade to Console, and that you may support or manage this upgrade for partner organizations as well. Separate communication with timelines will be provided to allow you to begin planning your organization's upgrade as soon as possible to prevent any disruption.

 

Prep for Upgrade

Although Console offers a more flexible toolset, we do not recommend making significant adjustments to roles/permissions or your hierarchy while you upgrade.  Minimizing new system configurations will reduce change management for you and your partners. 

Additionally, we recommend taking the following actions as early as possible in preparation for the upgrade:

 

1   Notify all internal stakeholders
  • Share this upgrade guide with internal stakeholders
  • Appoint an upgrade lead to oversee all related activities
Learn to use the new interfaces in Console
3 Establish your communication and upgrade timeline
  • Review the "Upgrade Checklist" below and determine a timeline that will work for your organization and partners 
4 Update business operations to support the use of Console
  • Partner with internal stakeholders to ensure business continuity throughout the upgrade 
  • Repurpose BenchPrep's documentation for your own needs (if necessary)

 

Upgrade Checklist

Follow the simple checklist below to complete the upgrade process. Most of the upgrade involves the communication, onboarding, and support of current partners using Console instead of legacy applications. Very little configuration is required in Console as all legacy data will be synced. Check out Console Upgrade Checklist article to review suggested messaging and action times for each step below! 

 

Please Note: The checklist is intended to assist BenchPrep customers with external stakeholders/partners using Boost and/or Institution Admin.  If you do not have any external stakeholders using Boost or Institution Admin, you can disregard the communication-related tasks.
