Branch User Management Practices

When setting up your branches, groups, and users within Console, there are different steps that you can take in order to structure them how you'd like. The scenarios outlined below can help you to configure these based on your specific needs. Whether you're creating users for the first time or moving existing users to a different branch, follow the step-by-step instructions under the scenario that best fits your situation.

 

Scenario 1:

I need to create a new branch with new groups, and I need to import new users and place them into these groups. I have 100 users that will be split into 5 groups of 20 users each.

 

  1. Create a new branch
    1. In Console, navigate to the Branches tab, and click on Add Branch.
    2. Input the name of your new branch, and click on Save.
  2. Create new groups
    1. Create groups individually (methods 1 and 2 are the same steps but from different pages)
      1. Method 1
        1. Go to the Groups tab, and click on Add Group.
        2. Input your group's name, select your new branch, and click on Save.
        3. Repeat the steps above to create the rest of your groups.
      2. Method 2
        1. Go to the Branches tab, and click on your new branch.
        2. Click on the Groups tab, and click on Add Group.
        3. Input your group's name, and click on Save.
        4. Repeat the steps above to create the rest of your groups.
    2. Import groups
      1. Go to the Groups tab, and click on Import Groups.
      2. Upload your CSV file with the 5 groups, and click on Import.
  3. Import new users and assign them to the branch and groups
    1. Option 1: Import users and assign them to their branch and group at the same time
      NOTE: Import functionality only allows you to import into one branch and group at a time.
      1. Create 5 CSV files for each group of 20 users.
      2. Go to the Users tab, click on Bulk Uploads, and select Import Users.
      3. Upload your CSV file with 20 users from Group 1, select your branch, select Group 1, and click on Import.
      4. Repeat the steps above for Groups 2-5. (Upload your CSV file for Group 2, select your branch, select Group 2, click on Import, and so on.)
    2. Option 2: Import new users first and assign them to their branch. Then, assign them to the groups via Bulk Assign Users to Groups.
      1. Create a CSV file that includes all 100 users.
      2. Go to the Users tab, click on Bulk Uploads, and select Import Users.
      3. Upload your CSV, select your branch but do not choose a group, and click on Import.
      4. Now that the users exist, create another CSV with their user IDs and group IDs.
      5. Go to the Users tab, click on Bulk Uploads, and select Bulk Assign Users to Groups.
      6. Upload your CSV, and click on Import.
  Benefits Considerations
Option 1
  • A simple, all-in-one process
  • Avoids managing user IDs
  • More manual steps if you have many groups
Option 2
  • Fewer uploads, even with many groups
  • A scalable, repeatable process
  • Requires user IDs for group assignments


Scenario 2:

I need to create a new branch with new groups, and I need to move existing users to these groups. The users are not yet assigned to a branch.

 

  1. Create a new branch
    1. In Console, navigate to the Branches tab, and click on Add Branch.
    2. Input the name of your new branch, and click on Save.
  2. Create new groups
    1. Create groups individually (methods 1 and 2 are the same steps but from different pages)
      1. Method 1
        1. Go to the Groups tab, and click on Add Group.
        2. Input your group's name, select your new branch, and click on Save.
        3. Repeat the steps above to create the rest of your groups.
      2. Method 2
        1. Go to the Branches tab, and click on your new branch.
        2. Click on the Groups tab, and click on Add Group.
        3. Input your group's name, and click on Save.
        4. Repeat the steps above to create the rest of your groups.
    2. Import groups
      1. Go to the Groups tab, and click on Import Groups.
      2. Upload your CSV file with the 5 groups, and click on Import.
  3. Assign existing users to the branch
    1. Method 1
      1. On the Users tab, select your users, and click on Edit Branch Membership.
      2. Select your branch, and click on Save.
    2. Method 2
      1. Go to the Branches tab, and click on your branch.
      2. Go to the Branch Members tab, and click on Assign Branch Members.
      3. Select your users, and click on Assign Users.
        NOTE: Only users who are not yet assigned to a branch will appear here.
  4. Assign existing users to the groups
    NOTE: Users can only be assigned to groups under branches of which they are also members.
    1. Option 1: Bulk assign users to their groups
      1. Create a CSV with the user IDs and group IDs.
      2. Go to the Users tab, click on Bulk Uploads, and select Bulk Assign Users to Groups.
      3. Upload your CSV, and click on Import.
    2. Option 2: Assign users to their groups individually
      1. Go to the Groups tab, and click on one of your groups.
      2. Go to the Groups Members tab, and click on Manage Groups Members.
      3. Select the users that should be assigned to this group, and click on Save.
      4. Repeat the steps above for the rest of your groups.

Option 1
  • Efficient for assigning a large number of users across multiple groups
  • Requires user and group IDs
Option 2
  • Easy to use and intuitive
  • Useful for small-scale updates
  • More time-consuming if you need to assign many users to different groups


Scenario 3:

I need to create a new branch with new groups, and I need to move existing students to these groups. The users are assigned to a different branch and need to be moved to my new branch.

 

  1. Create a new branch
    1. In Console, navigate to the Branches tab, and click on Add Branch.
    2. Input the name of your new branch, and click on Save.
  2. Create new groups
    1. Create groups individually (methods 1 and 2 are the same steps but from different pages)
      1. Method 1
        1. Go to the Groups tab, and click on Add Group.
        2. Input your group's name, select your new branch, and click on Save.
        3. Repeat the steps above to create the rest of your groups.
      2. Method 2
        1. Go to the Branches tab, and click on your new branch.
        2. Click on the Groups tab, and click on Add Group.
        3. Input your group's name, and click on Save.
        4. Repeat the steps above to create the rest of your groups.
    2. Import groups
      1. Go to the Groups tab, and click on Import Groups.

  3. Assign existing users to a different branch
