3. Managing Branch Managers

Branch Managers

After creating a branch, you’ll be able to assign branch managers to the branch. Any user with a role scoped to a given branch becomes a branch manager for that branch. There’s no one role that makes a user a branch manager, allowing you the flexibility to assign multiple branch managers with varying levels of permissions and access. 

 

Permissions you can grant to branch managers include: 

  • Creating, viewing, updating, and deactivating users within the branch they manage
  • Impersonating branch members 
  • Resetting a branch member’s course progress 
  • Assigning roles to branch members 
  • Creating groups within their branch
  • Adding members to groups within their branch

 

Branch managers cannot create new branches or roles, since these permissions are only available at the tenant level. However, a branch manager who also has the Admin role can create new branches and roles by changing their current role from branch manager to Admin. 

 


Branch managers are not and do not need to be members of the branch they manage. Because of this, a user can be a branch manager for one or more branches, including branches that are not part of the same hierarchy. This allows for situations where one person may be responsible for multiple cohorts of users, such as an adjunct professor teaching a certification prep course at multiple universities. 

 

A branch can have multiple branch managers. These managers will only be able to view one another if they are members of the same branch. A branch manager can also view other branch managers if they are members of another branch that the user manages. 

 

If a branch has children, branch managers of the parent branch will have visibility into its child branches. 

You can see all of a user’s roles, and the scopes of those roles, on their details page in the “Overview” tab. 
 

Assigning Branch Managers

A Console Admin or another user with a role containing Create User Roles permission can assign branch managers by giving users a role scoped to a branch. There are three ways to assign a branch manager to a branch. 
 

One-by-one

  1. In Console, go to the Users section. 
  2. Select the user you’d like to work with. 
  3. In the Overview tab, select the Assign Role button. 
  4. Select the role this user should have from the Select Role drop-down menu. Note that you’ll need to select a role that can be scoped to a branch!

  5. Select Branch in the Select Scope drop-down menu.  
  6. Check the box next to the branch this user should be a manager of.  You can only select one branch at a time here, so if this user needs to have this role in multiple branches, repeat this process as many times as necessary. 
  7. Select Save to finish the process. 

 

Bulk

  1. In Console, go to the Branches section. 
  2. Select a branch
  3. In the Branch Managers tab, select the Assign Managers button. 
  4. Move any users you want to be branch managers from the Available Users table to the Selected Users table by selecting the + icon next to their name(s), then select the Next button. 

  5. Select the role that these users should have within this branch from the drop-down menu. Note that all of the users you selected will receive this role - if you want to create branch managers with different roles, assign them separately.

  6. Select the Assign button to finish the process. 


Importing Branch Managers

Using the Import Branch Managers option allows you to import NEW users and assign them as Branch Managers to a specific branch.  Bulk importing users does not allow you to edit/update user names, emails, or passwords for accounts that already exist. These will be skipped during the import process.

  1. In Console, go to the Branches section.
  2. Select a branch
  3. Click the Import Branch Managers button.
  4. Click on See upload instructions to download a template and create the CSV file. 
  5. Select your CSV file for user import.
  6. Assign a branch (required) for your users and click Save
  7. Assign a group (optional) for your users, and click Save. If there are no groups listed, the branch you selected does not have any groups yet.
  8. Assign a branch plan (optional) for your users, and click Save. If there are no branch plans listed, the branch you selected does not have any plans yet. If a branch plan is expired, it will not be selectable as indicated by the ⮾ icon.
  9. Assign a role (optional) for your users, select the role’s scope (i.e. tenant, branch), and click on Save.
  10. If you’d like to create a new role, click on Create New Role. However, this will exit you from the importing page and will not save your changes. We recommend creating any custom roles that you need first before importing users.
  11. Click on Import to import your users.
  12. A pop-up message will appear indicating your import is in progress. You won’t be able to upload an additional file until this import has been completed.
  13. Once the import is finished, you’ll receive a confirmation email that will provide more details on what was imported and if any errors occurred during the process.
     

Removing Branch Managers

To remove branch managers from a branch, follow these steps: 

  1. In Console, go to the Branches section. 
  2. Select a branch
  3. In the Branch Managers tab, select Edit next to the branch manager you want to remove. 
  4. Select Remove User Role from the drop-down. 
  5. In the pop-up window, select the role you want to remove from this user. You’ll be able to see which role the user has in this branch under “Branch Role(s).” To remove a branch manager, remove all the roles they have scoped to this branch.

  6. Select the Confirm button.

 

You can also remove a branch manager via their user details page by following these steps: 

  1. In the Overview tab, select Remove next to the name of the role scoped to the branch you no longer want this user to manage. A pop-up window will ask to confirm you want to remove this role; select the Continue button to move forward.
